This Privacy Policy (“Policy”) describes how Acredify (“we”, “us”, “our”) collects, uses, and protects your information when you use our web application (the “Service”).

Information We Collect

  • Account information: name, email address, role, office, program, and (optional) avatar/profile photo.
  • Authentication data: authentication is handled by our identity provider (e.g., Google Sign-In / Appwrite Auth).
  • Content you upload: files and information submitted for accreditation workflows (e.g., evidence documents, comments, status updates).
  • Usage and device data: basic logs/telemetry necessary to operate, secure, and troubleshoot the Service (e.g., timestamps, actions, and device/browser signals).

How We Use Information

We use information to:

  • Provide and operate the Service (projects, instruments, evidence workflows, access control).
  • Authenticate users and maintain account sessions.
  • Secure the Service, prevent abuse, and troubleshoot issues.
  • Improve usability and performance.

Google Sign-In Data

If you choose to sign in with Google, we receive basic profile data from Google, typically your name, email address, and profile photo (if available). We use this information to:

  • Create and manage your Acredify account.
  • Display your name/avatar in the UI.
  • Communicate essential service notices (if applicable).

We do not request access to your Google Drive, Gmail, or other Google services unless explicitly stated in the app at the time you grant permission.

Appwrite & Hosting

We use Appwrite to support authentication, database storage, and file storage for the Service. Uploaded files and records are stored in our configured Appwrite instance and are accessible only to authorized users based on project roles and permissions.

Sharing & Disclosure

We may share information:

  • With your institution’s authorized users participating in the same project/workflow (as determined by roles and permissions).
  • With service providers used to operate the Service (e.g., hosting and infrastructure), as needed.
  • When required by law, regulation, legal process, or to protect rights and safety.

Cookies

We may use cookies or similar technologies for authentication/session management and to keep you signed in. Some cookies are essential for the Service to function properly.

Data Retention

We retain personal information and uploaded content for as long as necessary to provide the Service and meet institutional, operational, or legal requirements. Retention periods may vary by project and policy.

Security

We implement reasonable technical and organizational measures to protect information, but no system can be guaranteed 100% secure. Please use strong account protections and avoid sharing credentials.

Your Rights

Depending on your jurisdiction and institutional policy, you may have rights to access, correct, or delete certain information. Please contact your system administrator or support to make requests.

Children’s Privacy

The Service is intended for authorized institutional users and is not directed to children. Do not use the Service if you are not authorized to do so.

Changes

We may update this Policy from time to time. The “Last updated” date will reflect the latest version. Your continued use of the Service indicates acceptance of the updated Policy.
